Creativecapitalism

April 5th, 2009

Manage Single Projects

March 3rd, 2009

Article Source

PM

Every day I work with customers helping to put project management in place.  Every other day I work with our Engineering team building a project management plug-in for SharePoint.  A minority of the customers I meet have mature and well defined project management processes in place through-out their organizations.  These processes are based on well defined industry project management approaches such as the PMI, PRINCE2, MSF (Microsoft Solutions Framework), Scrum, SEI-CMM, etc.  While these models are excellent and well though out over years by project management professionals they can be a bit on the heavy or formal side for many projects.  The majority of the customers we meet have a few people well trained and versed in project management processes and techniques but that knowledge is not widespread through out the organization.  The rest of the people are excellent at what they do (engineering, marketing, finance, software development, etc.) but they are not trained in project management.  The customers we meet are at pains to tell us that they do not have the time or the budget to train the folks in formal project management.  They want an approach so simple that it is obvious.  Over the years we have been helping customers develop such a simple approach.  More recently we have been working on a process that can be described and always decomposed into three steps.  Why three steps every time?  Why not?  Three is an easy number to work with.  It is a bit quirky and fun.  It is easier to remember and manage.  It forces us all to be concise rather than long-winded.

A piece of the draft model is then as follows:

  1. Manage Single Projects
    1. Initiate the Project
    2. Manage the Project
      1. Plan the Project
        1. Define the project
        2. Assign the work
        3. Notify team members
      2. Work on the Project
      3. Track and Re-Plan the Project
    3. Close the Project
  2. Manage Many Projects
  3. Evolve Project Management

As you can (hopefully) see the objective is to make the process/steps of project management as simple as possible.

Download …

… you can download a first draft of the 1-2-3 model for Managing Single Projects

The above file is a pdf generated from Microsoft PowerPoint.  I do need to find a better way to visualize the process.  I actually used Microsoft Project to build the first version as it has the expand / collapse and tree views.  I tried the Visio WBS Modeler – and while it is good it does not do what I am looking for here.  Maybe I need to use something like RoboHelp.  If anyone knows of such a tool – please do let me know!

In the next few posts I will add the "Manage Many Projects" and the "Evolve Project Management" processes and I am sure I will improve on the "Manage Single Projects" started here.

Manage Change in your personal life

February 2nd, 2009

Change is the most stressful event a person faces in life. There are simple strategies that you can use to help you make it through times of change.

Change is one of the most stressful events in an individual’s life. Moving, taking a new job, having a child, all of these can seem like the proverbial perfect storm of epic proportions. The water is rising and you feel overwhelmed. But individuals that plan for change can stay afloat.

How you weather change in your personal life starts with the approach you take to change in general. If you see change coming, make decisions with that change in mind, and are committed to that change you will make it through. If you know change is coming, but do nothing to prepare for it you might weather the change. If you do manage to survive it without pulling out all you hair, you’ll still have the scars of stress. Finally, you could approach change the same way you would approach walking the plank with screaming and crying and doing nothing to save yourself. Give up and change will happen to you, rather than you creating change.

One of the keys to moving to a positive and proactive attitude towards change is to stop the wailing and gnashing of teeth about how bad things are going to be. If change is inevitable, then there is absolutely nothing you can do about the current situation. But you can do something about how you handle it! Take the attitude that you are the one creating the change, you have control over it, and you can dictate the degree of change that occurs.

Once you’ve chosen to prepare for change, to look it in the eye, there are several things you can do to help you see the break in those storm clouds. First, embrace trying new things. The more you try new things, and enjoy them, the better you learn to handle change and the unknown without fear. You also need to couple this with breaking habits. Routine can be your enemy, because it is easier to stick with what is comfortable. The harder you cling to habits the more you make change that much more difficult. The more you hold on to things, the harder it is to change. Second, concentrate on the strengths you already have. Those elements that people compliment you on can often be the source of stability and strength in getting through change.

Researching the change you are facing is also an important element in making it through change. The more you know what to expect, the better you can prepare for it in your life. With the internet and other ready resources these days, researching could be the easiest part of change. Once you have completed your research make sure you focus on the things you need to become successful. Check out training, community education courses or other things you can do to help you be better positioned to make it beyond, not just into, change.

A positive attitude, calm reasoned choices and a little research can help you manage personal change. It may seem scary, but you can be confident it won’t also be stressful.

About Strategy

October 26th, 2008

Quoted from one internal PPT, presented by COO.

Strategy is not a vision or a plan

Strategy is not an aspiration

Strategy is not an action

Strategy is not what is important

Strategy is not when to take the next step

Strategy is not a learning process

Strategy is how to become unique (through evolution of a central idea responding to changing market conditions)
